Salary: $85,000–$100,000 (based on performance after probation)
Inner Balance Health is a thriving multidisciplinary Physiotherapy and Pilates studio in Coconut Grove. As we continue to grow, we are seeking an exceptional Practice Manager to lead our administrative team, support clinic operations, and uphold the standard of excellence our community expects.
About the Role
The Practice Manager ensures the smooth, efficient running of the clinic and leads the admin team with confidence, clarity, and care. This role involves leadership, HR support, staff training, admin team management, rostering, performance management, and operational oversight — with no marketing responsibilities.
You’ll receive fortnightly structured training and development, building your skills in leadership, communication, conflict resolution, practice management, and operational systems.

Salary Range: $85,000–$100,000 + super (based on performance milestones)
Structured Progression Pathway
Starting salary during probation (first 3 months): $70,000 + super
3-Month Review: salary increases based on performance & leadership benchmarks
6-Month Review: second performance-based increase
12-Month Review: we would expect a full salary $100,000k reached

Key Responsibilities
1. Leadership & Team Management
Lead and support the administrative team
Manage staff performance, expectations, and professional behaviour
Conduct check-ins and quarterly performance reviews
Provide feedback, discipline, and conflict resolution when needed
Maintain a positive, calm, respectful team culture
Step in at the front desk when required
2. Staff Training & Development
Train new administrative staff in procedures and service standards
Deliver ongoing training to ensure consistency and competency
Ensure adherence to checklists and protocols
Participate in weekly leadership & skills development sessions
3. Rostering & Workforce Management
Prepare rosters and oversee shift coverage
Manage leave requests and ensure adequate staffing
Anticipate and plan for peak periods
4. HR Administration
Approve timesheets, hours, and leave entries
Assist with onboarding, contracts, and HR documentation
Manage confidential staff records
Support disciplinary processes where required
5. Operational Oversight
Ensure completion of daily/weekly/monthly checklists
Maintain workflow efficiency and front desk quality
Troubleshoot and resolve operational challenges
Ensure compliance with clinic policies, safety, and service standards
Act as liaison between admin staff and the owner
Performance Review Structure
Evaluated through:
Quarterly reviews
Leadership and team engagement
Staff performance & checklist compliance
HR administration
Operational efficiency and problem-solving
Communication and professionalism

Qualifications & Experience
Healthcare admin or practice management experience (preferred)
Leadership or supervisory experience (highly regarded)
Familiarity with NDIS, Medicare, DVA & healthcare billing (preferred but training provided)
Experience with software like Cliniko or Momence (advantage)
Strong interpersonal, organisational, and communication skills
