About Good Times Pilates
Good Times Pilates (GTP) is a boutique reformer Pilates studio group based in Melbourne's inner north, with studios in Fitzroy, Northcote and Brunswick. With over 600 autopay members, 20 instructors and a fourth studio opening in mid-2026, we are in an exciting phase of growth.
Our culture is conscious, community-driven and rooted in the genuine pleasure of movement. We have been building something special in Melbourne for over eight years — and the Studio Operations Manager will play a central role in carrying that forward.
The opportunity
This is a newly created full-time leadership role, designed to free the CEO to focus on strategic growth while ensuring day-to-day operations across all studios run to the highest standard. The right person will be a confident, proactive operator who is as comfortable managing a team as they are building a community.
Pilates teaching experience is welcome but not required. What matters most is operational intelligence, genuine warmth, and the ability to hold a high standard across people, process and member experience.
Key Responsibilities
1. Operations & Studio Standards
- Oversee day-to-day operations across all GTP studio locations
- Own the Mindbody platform — class scheduling, timetable management, reporting and troubleshooting
- Review, maintain and improve operational systems and SOPs across all sites
- Ensure all studios are consistently presented to GTP standards at all times
- Identify inefficiencies and implement better ways of working across all areas of the business
- Coordinate staff rostering and timetables, and manage leave and availability
- Act as the primary escalation point for operational issues — own the problem-solve
- Opportunity to be involved in the set-up, development and opening of the fourth studio
2. Team Leadership
- Serve as the direct manager for the admin and studio staff
- Assist with recruitment, onboarding and ongoing development across the team
- Run regular check-ins and hold the team accountable to role expectations
- Foster a high-trust, accountable team culture that reflects GTP's values
- Opportunity to teach Pilates classes if qualified — welcome but not required
3. Member Experience, Sales & Community
- Own the full new member journey — from first class through to conversion and long-term retention
- Own the member milestone gifting program — key class milestones, birthdays and class anniversaries
- Assist with community engagement: studio events, workshops, special activations and the broader marketing calendar
- Oversee in-studio communications, campaign coordination and assist with social content execution
- Respond to all member queries and feedback promptly and in line with GTP's brand voice
4. Finance, Payroll & Business Performance
- Manage payroll processing across all studio locations — accurately and on time
- Maintain and manage studio budgets across all locations
- Track and report on key business KPIs: membership numbers, autopay retention, class attendance and revenue
- Identify risks and opportunities in studio performance data and present recommendations to the CEO
- Support pricing, packaging and promotional planning as required
5. Inventory, Retail & Procurement
- Manage the logistics of all supplies and inventory across studios — ensuring everything is ordered, stocked and organised on a weekly basis
- Oversee the retail offering across all locations: stock levels, presentation and replenishment
- Process and fulfil online orders accurately and on time
- Act as the primary contact for all GTP suppliers and service providers
- Maintain strong supplier relationships and negotiate where possible to keep costs competitive
What We Are Looking For
Experience
- 3–5 years managing studios, fitness facilities or multi-site operations — Pilates background welcome but not required
- Proven track record leading teams of 10 or more in a fast-paced, service-led environment
- Experience with member sales, conversion and retention in a studio or fitness setting
- Retail or inventory management experience highly regarded
- Comfortable with budget management and payroll

- Highly organised with the ability to hold multiple priorities across multiple sites

- Strong communicator, both in writing and in person
- Leads with warmth and holds a high bar — for themselves and their team

Requirements
- Valid working rights in Australia
- Valid Australian driver's licence
- Current Working with Children Check, or willingness to obtain one prior to commencement
Systems
- Mindbody — preferred
- Google Workspace (Docs, Sheets, Drive, Gmail) — required
- Pipeline CRM (integrated with Mindbody) — preferred
- Notion, AI tools (ChatGPT, Claude etc.) — preferred
- Xero — preferred
Working Arrangements
A multi-site studio business has its own rhythm — hours will be spread across early mornings, the occasional evening, events and moments that need you on the ground. Outside of operational requirements, flexibility is genuinely built into this role:
- GTP's dedicated office at Brunswick studio serves as the primary base for desk-based and administrative work
- Regular presence across all studio locations is expected — Fitzroy, Northcote, Brunswick and Richmond (4th studio, mid-2026)
- A mix of on-site and remote work is part of the role — we care about output, not where you're sitting
